Please review the following Terms and Conditions carefully before making a reservation with Chào Asia Travel. By confirming your booking with us, you acknowledge and accept these Terms and Conditions, as well as any additional terms and conditions in the booking.

Tour prices are listed per person, in double or shared occupancy unless stated otherwise. Chào Asia Travel is not obligated to provide a detailed breakdown of tour expenses. Adjustments to any customized and tailor-made itinerary, such as travel dates or the number of travelers, will incur a revised proposal, and the price will be changed accordingly.

  • Private arrival and departure transfers;
  • All accommodations, meals, and entrance fees as noted in the itinerary;
  • Private sightseeing (except for shared excursions from cruise, trains, or other exceptions) as noted in the itinerary;
  • Experienced local tour guides fluent in English, Spanish, Portuguese, or Italian, depending on the itinerary;
  • Water and towels during sightseeing;
  • Hotel taxes.
  • International and domestic airfares (unless otherwise noted);
  • Additional charges for excess baggage (unless otherwise noted);
  • Costs to obtain passports, visas, e-VOAs, visa fees, and airport departure taxes (unless otherwise noted);
  • Sightseeing, meals, and beverages not mentioned in the itinerary;
  • Gratuities for local tour guides, drivers, porters, restaurant staff, and room service;
  • Other personal expenses, such as shopping, laundry, and internet access (except at booked hotels and on cruises).

To reserve a booking, Client must make deposit to Chào Asia Travel via bank transfer or online payment. The reservation of land services or flight and train tickets will not be made until we receive your deposit. The final payment must be made by the specified deadline. Failure to meet this deadline will result in booking cancellation without a refund.

If you make a reservation within the final payment period, the full cost of the trip must be paid at the time of booking to secure confirmation. For bookings during holiday or festival seasons, additional deposits may be required. Please contact Chào Asia Travel for more details.

“Land service” refers to the cost of the tour package excluding flight or train fare. It may include, but is not limited to, all sightseeing activities, meals, local transportation (with or without local tour guides), entrance fees, and accommodation as specified in the itinerary.

The reservations will be confirmed in U.S. Dollars or Euros, and payment can be made via credit card (Visa, Mastercard, American Express, JCB & UnionPay) or via bank transfer.

By credit card: Payment by credit card can be done via Chào Asia Travel’s secured platforms such as OnePay or Paypal. If you are based in Hanoi (Vietnam), you can also make payment via our POS machine issued by the Joint Stock Commercial Bank for Foreign Trade of Vietnam (Vietcombank). The price does not include a 3-4% transaction fee and exchange rates. It is recommended to make online payments for transactions less than US$ 1,000.

By bank transfer: For transactions of over US$ 1,000, Chào Asia Travel recommend clients to make payment via bank transfer. All bank fees are to be paid by the client.

Cancellation charges for domestic air tickets: All domestic air tickets are 100% non-refundable at time of final payment (some exceptions may apply).

Booking amendment requested by clients: The Client is responsible for any changes or cancellations to the itinerary, whether requested by them or due to circumstances beyond their control, both prior and during their trip. Any expenses incurred from these changes or cancellations, including flight and hotel charges, will be at the Client’s own cost.

Unuse services: Refunds or exchanges cannot be provided for unused services booked by Client including accommodation, meals, sightseeing tours, transportation, or any other services included in the tour price.

Before the booking is confirmed and a deposit is made, the client is welcome to request adjustments to the tour program until it aligns with their expectations and budget.
Once the tour program is confirmed and the Client has made full payment, any changes or adjustments to the tour program made by Chào Asia Travel must be communicated to the Client and receive their acceptance. If significant alteration occurs, the Client has the option to either (1) accept the change, (2) opt for an alternative option, or (3) receive a refund of the amount paid for the changed services.
The Client understands and acknowledges that traveling necessitates a high degree of flexibility, particularly in response to unforeseen circumstances like force majeure events. In such situations, adjustments to the activities outlined in the tour itinerary may be necessary to ensure the safety of both the Client and our service providers. Chào Asia Travel reserves the right to adjust program itineraries, sightseeing, tour guides, accommodation, and flights at any point due to unforeseen circumstances or situations beyond its control, such as force majeure events, medical emergencies, or mechanical malfunctions. In such situations, the client will be responsible for covering any additional expenses related to the new itinerary.
It is the Client’s sole responsibility to ensure they possess the appropriate valid travel documents when required. A valid passport is mandatory for all Clients traveling to international destinations. Passports must remain valid for at least 06 months after the completion of the tour and should contain adequate blank visa pages for entry and exit stamps. Certain nationalities may require visas for entry into Vietnam, Laos, Cambodia, and Indonesia. Clients are strongly advised to consult with the relevant Government Authority and Consular Office to ascertain the necessary documentation needed before traveling to these countries.
Failure to possess proper documentation may result in refusal of entry or departure from the destination country, as well as denial of boarding or disembarkation from the aircraft, with no entitlement to refund, compensation, or credit of any kind. Chào Asia Travel bears no responsibility should a Client be denied entry to a country due to failure to comply with these requirements.
Upon confirmation of the booking, the Client must provide their personal information, including but not limited to the full name as per the passport, date of birth, nationality, passport number, passport issue and expiration dates, and any pre-existing medical conditions that could impact the client’s ability to complete the travel arrangements. Failure to provide the requested details may result in additional charges or non-refundable cancellations of the client’s trip. Airlines or immigration authorities may refuse boarding to passengers with incorrect full names. Passengers who mistakenly provide incorrect full names or experience clerical errors will be required to pay an extra fee for ticket rebooking and/or a new visa application.
All of the client’s information will be kept strictly confidential and will only be shared with the related service providers for the purpose of registration and securing the booking. Chào Asia Travel will not disclose the Client’s personal information to any third party for either personal or business purposes, or for any other purpose beyond booking reservations.

In certain tour programs, specific sports activities may necessitate minimum age, height, weight, or fitness requirements. By confirming your booking with Chào Asia Travel, you affirm that both you and any dependents traveling with you (under 18 years old) are physically and emotionally capable of participating in such activities. Please inform Chào Asia Travel if you need further consultation or special assistance for such tours and activities.

All Chào Asia Travel’s Clients are required to obtain travel insurance at the time of booking. The Client’s travel insurance policy must include coverage for personal accident, death, medical expenses, and emergency repatriation, with a recommended minimum coverage of US$ 200,000. We strongly advises this coverage as it also includes protection for cancellation, curtailment, personal liability, and loss of luggage and personal effects.

Child under the age of 18 (or “minor”) must be accompanied by an adult. Please be aware that certain accommodation may require minors below a specific age to share a room with an adult. If a parent or guardian is traveling alone with a child, it is recommended to carry documentation demonstrating their relationship to the child (e.g., birth certificate) and proof of permission to travel with the child (e.g., consent letter). For clients traveling with unrelated children, carrying documentation confirming permission to travel with the child is advised. Clients should consult the relevant government authority to ascertain the necessary documents for traveling with minors. Chào Asia Travel cannot be held responsible if the client, child, or any member of the travel party is denied entry to a country due to failure to comply with the country’s requirements.

Hotel ratings: The hotels, lodging accommodations, and cruise vessels featured by Chào Asia Travel may or may not hold an official star rating issued by local governments or accredited hotel associations in their respective countries. Chào Asia Travel employs its own specific rating criteria and expertise to offer clients realistic information about these properties. Therefore, Chào Asia Travel will not be held responsible for any discrepancies between the client and the property or for any misunderstandings on the client’s part.

Triple rooms: In Indochina, standard triple rooms (with 3 single beds) are primarily available at 5-star hotels and resorts. Alternatively, triple rooms consist of double/twin rooms with an additional (rollaway) bed, which may limit space within the room. Preferences such as smoking/non-smoking rooms, family rooms, interconnecting rooms, king-size beds, and room location cannot be guaranteed or confirmed in advance and are subject to hotel policy and availability at the time of check-in.

Hotel Check-in and Check-out: Most hotels allow check-in from 2:00 PM or 3:00 PM and check-out between 11:00 AM and 12:00 PM. Cruise vessels in Ha Long Bay, Lan Ha Bay, and Bai Tu Long Bay allow check-in from 12:30 PM and check-out between 9:45 AM and 11:00 AM, depending on the cruise itinerary.

Hotel early check-in and late check-out cannot be guaranteed as they are subject to hotel availability. Any request for early check-in or late check-out will incur an additional charge if the hotel has a room available. To secure your early check-in or late check-out, Clients should book the room for an additional night before or after their stay. Please contact Chào Asia Travel for more information.

Room upgrades at hotels or lodging accommodations are available upon request and will incur an additional charge. Special requests such as connecting rooms, smoking preferences, bedding types, special medical assistance, surprise options, and special dietary needs should be communicated to Chào Asia Travel’s Travel Advisors prior to booking. While we will make every effort to accommodate these requests, we cannot guarantee them. To enhance your trip experience, please also inform us if you are celebrating your honeymoon or anniversary during your trip.

Transportation standards may vary across destinations in Asia. In adherence to our commitment to quality service, Chào Asia Travel ensures that all of its contracted transportation services (both by road and by water) comply with local safety standards. All cars, vans, and buses must be equipped with safety gear and seat belts. Water transportation, including speed boats, tenders, and cruises, is equipped with life jackets. All contracted drivers must possess valid driving licenses, be in good health condition, and have extensive experience in driving for long journeys. International and domestic airfare is not included in the program pricing and is typically quoted separately from the land service, unless stated otherwise. Internal airfare is based on economy class and is non-refundable, although some exceptions may apply. Quotations for both international and internal airfare are subject to change based on availability. Flight reservations cannot be made until Chào Asia Travel receives your payment and a copy of your passport.
All airlines are independent contractors and are not owned, managed, controlled, or operated by Chào Asia Travel. When you purchase a flight ticket with Chào Asia Travel, we do not assume responsibility for seat assignments, name changes, schedule changes, insufficient travel documentation, flight changes, or cancellations. If you wish to make changes or cancel your air ticket before or during the trip, the airline companies will apply change and cancellation fees.
For general standard economy domestic tickets in Asia, passengers typically receive one piece of hand luggage weighing up to 7 kg and one checked luggage weighing up to 20 kg. Further details regarding baggage allowances will be provided in your itinerary. Passengers are advised to check with their air carrier for baggage restrictions for their international flights. Baggage and personal belongings are at the owner’s risk throughout the travel program, and Chào Asia Travel assumes no liability for any lost, stolen, or damaged items.

Chào Asia Travel reserves the right to capture photographs and videos of Clients during Tours and may utilize, publish, and republish their visual materials for promotional purposes. By confirming your booking with Chào Asia Travel, you acknowledge the company’s ownership of these materials and provide consent for their use. Should you prefer that your image not be used, please inform your Tour Guide at the start of the Tour and notify our Travel Consultant via email within thirty (30) days after the conclusion of the tour. Failure to provide timely notification will grant Chào Asia Travel unrestricted rights and permission to utilize the visual materials.

The client acknowledges that the trip is adventurous in nature and that participation entails a certain level of personal risk such as illness, injury, or death. By participating in the tours, the Client assumes all associated health risks. By participating in any of the activities that entail serious illness, injury, or death, including but not limited to ziplining, scuba diving, snorkeling, kayaking, rafting, boating, hot air ballooning, helicopter flights, parasailing, parachuting, high altitude treks, climbing, and quad biking, as well as other dangerous travel activities, you acknowledge and accept all the inherent risks and will take full responsibility for your own health and safety. Furthermore, you agree to release Chào Asia Travel Parties from any liability related to such activities.

Force majeure refers to extraordinary and unforeseeable circumstances beyond the control of Chào Asia Travel or its suppliers, which neither Chào Asia Travel nor its suppliers could have prevented even with the utmost care. These circumstances include, but are not limited to, natural disasters, fires, floods, droughts, adverse weather conditions, war or the threat of war, civil unrest, terrorist activities (actual or threatened), labor disputes, technical issues with transportation or equipment, power outages, pandemics, epidemics, and outbreaks of illness. Chào Asia Travel shall not be liable to the Client or deemed to have violated this Agreement if it fails to fulfill or perform any of the contract terms and Tour programs due to acts beyond its reasonable control.

In the event of force majeure, Chào Asia Travel will discuss with the Client to alter the Tour or rearrange the travel itinerary to the best of its ability. The Client will be responsible for all extra costs incurred from tour alteration or cancellation (if any), including but not limited to airfare, insurance, visas, and other travel arrangements of any kind.

Chào Asia Travel acts as an intermediary between local suppliers, including lodging accommodations, hotels, transportation (aircraft, coach, train, vessel, etc.), restaurants, and other services provided by various independent contractors. Neither Chào Asia Travel nor any of its employees, shareholders, directors, officers, or representatives (collectively referred to as the “Chào Asia Travel Parties”) own or operate any of the aforementioned services for your trip. Therefore, Chào Asia Travel Parties cannot be held responsible for any injury, financial or physical loss, death, inconvenience, delay, or damage to personal property resulting from the provision of such services.

The Client is responsible for all liabilities related to any loss, death, injury, or damage they may incur, directly or indirectly, during their participation in a journey provided by Chào Asia Travel. The client releases Chào Asia Travel and its affiliated parties from any liability and waives any claims against Chào Asia Travel arising from their participation in a trip. Chào Asia Travel’s liability for compensation is limited to either (i) providing an alternative trip of equivalent value or (ii) refunding the total amount received from the client for their booking, at our discretion. Any claims by the client for indirect or consequential loss, loss of profits, economic loss, or for indirect, special, punitive, or exemplary damages are excluded. Any claims or complaints about the tours must be communicated to Chào Asia Travel immediately during the tour to rectify the issue in a timely manner, or via email no later than 30 days after the completion of the trip. After this time, claims and complaints cannot be considered valid.

Any claim or complaint will be adjudicated in accordance with the Vietnamese law, and each party unequivocally submits to the exclusive jurisdiction of the Vietnam courts for any proceedings arising from or related to such claims or complaints.

Chào Asia Travel reserves the right to correct any errors or omissions in its published materials and to amend these Terms at any time. All amended Terms shall be sent to Clients prior to travel.
